You can sync contacts both ways between an application, such as your CRM, and an address book in Vuepak using Zapier. In this article, we will use a CRM as an example, but the same applies to other applications that manage your contacts and integrate with Zapier. Very Important Note: You can only sync one application per address book. Attempting to sync more than one application to the same address book will result in the loss of data in one or more of the applications. However, Vuepak allows you to have multiple address books, enabling you to sync additional address books with more applications.
The sync options available are as follows:
- Two-way sync for new contacts between your CRM and Vuepak.
- Two-way sync for contact updates between your CRM and Vuepak.
- Vuepak contact deletion will trigger a note in your CRM.
Steps to create each required Zap will appear below.
Note: Zapier is designed to trigger and perform actions based on new data or events. For example, it can trigger when a new contact is added in your CRM and subsequently add that contact to a Vuepak address book, and vice versa. You will not be able to transfer existing contacts from an address book, except with certain applications that feature the option to Transfer existing addresses. To learn more about which applications support data transfers, please refer to the Zapier article titled Transfer existing data using a Zap.
For applications that do not have a transfer option, it is recommended to export your contacts to a CSV or XLSX file and import them into the Vuepak address book first. After that, you can connect through Zapier. To learn how to import your contacts into a Vuepak address book, please refer to the article titled Introduction to Address Books.
Sync New Contacts From Your CRM To A Vuepak Address Book
To sync new contacts from your CRM to Vuepak, follow these steps:
1. Log In to Zapier.
2. On the main menu click Zaps.
3. In Zaps section click + Create then New folder.
4. Name the folder then click Save. We recommend using the application name.
5. Confirm you are in the folder.
6. Click + Create Zap.
7. Click on Untitled Zap and then select Rename.
8. Rename your Zap. For example, use "NC CRM to Vuepak."
9. Click Trigger.
10. Enter your CRM in the search field. Once shown, click on your CRM.
11. Click the Trigger Event dropdown and select New Contact or similar. See note below.
Note: Each application will have its own naming options. For example, New Contact, Create Contact, New lead or other. Please refer to your application documentation.
12. Click on the Account field and Sign in to your application account.
13. Click Continue.
Note: Certain applications may require an additional step before testing the trigger. Refer to your application’s documentation for more details.
14. Click Test trigger.
Important Note: If there are no contacts in your CRM, you may receive the error: "Unable to pull new contacts." If this occurs, you can click Skip test and proceed to step 16.
15. If the test succeeded, click Continue with selected record.
16. Enter Vuepak in the search field. Once shown, click on Vuepak.
17. Click the Action Event dropdown and select Create a Contact.
18. Click on the Account field and Sign in to your Vuepak account.
19. Click Continue.
20. Click the Address book dropdown to select which of your Vuepak address books you want to Sync with. If you have not created a new address book please see the article titled Introduction to Address Books. We recommend naming the address book after your CRM to make it easier to remember which one is synced. You will need to refresh this page after creating the address book in Vuepak.
21. Click the + icon on each field to map the fields using your CRM data.
The available contact data fields in Vuepak are as follows:
- Source Contact ID. (Select your CRM's Contact ID or Record ID)
Note: Each application may have its own naming conventions for the Contact Record ID. Please refer to your application’s documentation to confirm the specific terminology used for the Contact Record ID.

Sync New Contacts From A Vuepak Address Book To Your CRM
To sync new contacts from a Vuepak address book to your CRM, follow these steps:
1. Log In to Zapier.
2. On the main menu click Zaps.
Optional: If not already created.
a. In Zaps section click + Create then New folder.
b. Name the folder then click Save. We recommend using the application name.
3. Click on Folders.
4. Click on the folder where you want to place your Zap.
5. Click + Create then select New Zap.
6. Click on Untitled Zap and then select Rename.
7. Rename your Zap. For example, use "NC Vuepak to CRM."
8. Click Trigger.
9. Enter Vuepak in the search field. Once shown, click on Vuepak.
10. Click the Trigger Event dropdown and select New Contact Added.
11. Click on the Account field and Sign in to your Vuepak account.
Note: If you've created another Zap and already signed in, it will indicate that you're already signed in.
12. Click Continue.
13. Click the Address book dropdown to select which of your Vuepak address books you want to Sync with. If you have not created a new address book please see the article titled Introduction to Address Books. We recommend naming the address book after your CRM to make it easier to remember which one is synced. You will need to refresh this page after creating the address book in Vuepak.
14. Click Continue.
Note: Certain applications may require another step before testing the trigger.

- ID
Note: This refers to the Vuepak contact ID. Some applications may allow mapping of this field, while others may use an email address or their own assigned ID as the contact identifier. The goal is to assign a fixed, non-variable ID that remains consistent for the contact. If the email is used as the identifier and the email changes, a new contact might be created, resulting in duplicate entries. Keep in mind that not all applications allow mapping of another system’s contact ID, as some prefer to use their own system ID.

Sync Contact Updates From Your CRM To A Vuepak Address Book
To sync contact updates from your CRM to Vuepak, follow these steps:

3. Click on Folders.

In such cases, a field to map this data may not always be available. The goal is to assign a fixed, non-variable ID that remains consistent for the contact. If the email is used as the identifier and the email changes, a new contact might be created, resulting in duplicate entries. Keep in mind that not all applications allow mapping of another system’s contact ID, as some prefer to use their own system ID.
Important Note: You should only use one identifier—either the ID or the Source Contact ID, if allowed. The easiest way to approach this is to ensure you have a single, consistent ID between both applications. If you’ve already mapped the Source Contact ID in a previous Zap for new contacts from your CRM to Vuepak, use the same method for updating contacts from your CRM to Vuepak to maintain consistency.

Important Note: If you haven’t imported your contacts from your CRM, including their Contact ID, into the Vuepak address book, this test will fail. Vuepak requires the Contact Record ID from your CRM. If this applies to you, click "Skip Test" and proceed to the next step. You can test after importing your contacts by updating a contact in Vuepak and verifying the update in your CRM.
24. Click Publish to enable your Zap.
Deleting Contacts From A Vuepak Address Book And Adding A Note In Your CRM
When you delete a contact from a Vuepak address book, you have the option to add a note in your CRM. Follow these steps to learn how:
1. Log In to Zapier.
2. On the main menu click Zaps.
Optional: If not already created.
a. In Zaps section click + Create then New folder.
b. Name the folder then click Save. We recommend using the application name.
3. Click on Folders.
4. Click on the folder where you want to place your Zap.
5. Click + Create then New Zap.
6. Click on Untitled Zap and then select Rename.
7. Rename your Zap. For example, use "Vuepak Contact Deleted Note to CRM"
8. Click Trigger.
9. Enter Vuepak in the search field. Once shown, click on Vuepak.
10. Click the Trigger Event dropdown and select Contact Deleted.
11. Click on the Account field and Sign in to your Vuepak account.
Note: If you've created another Zap and already signed in, it will indicate that you're already signed in.
12. Click Continue.
13. Click the Address book dropdown to select which of your Vuepak address books you want to use. If you have not created a new address book please see the article titled Introduction to Address Books. We recommend naming the address book after your CRM to make it easier to remember which one is synced. You will need to refresh this page after creating the address book in Vuepak.
14. Click Continue.
15. Click Test Trigger.
Important Note: If there are no contacts in your Vuepak Address Book, you may receive the error: "Unable to pull new contacts." If this occurs, you can click Skip test and proceed to step 17.
16. If the test succeeded, click Continue with selected record.
17. Enter your CRM name in the search field. Once shown, click on your CRM.
18. Click the Action Event dropdown and select Add Note. See note below.
Note: Not all applications offer this feature. For those that do, naming conventions may vary, such as Add Note, Create Note, or similar. Please refer to your application’s documentation for specific instructions.
19. Click on the Account field and Sign in to your application account.
Note: If you've created another Zap and already signed in, it will indicate that you're already signed in.
20. Click Continue
21. Click the dropdown and select one of your CRM's contact management options.
22. Click the + icon in the Object ID field and select the Contact ID used in your other Zaps for the address book. Source Contact ID or ID.
Note: Each application will have its own naming options for this field. For example, Object, Record Type, Contact Type or other. Please refer to your application documentation.
23. On the Note field, simply write "Contact Deleted in Vuepak".
24. Click Continue.
25. Click Test Step
Important Note: If you haven’t imported your contacts from your CRM, including their Contact ID, into the Vuepak address book, the zap test will fail. Vuepak requires the use of a Contact Record ID.
26. Click Publish to enable your Zap.
